Plan any event like a pro! Here are our top ten event planning tips....
1) Visualize your event What are your goals and objectives? Take time to envision not only the design of of your event, but the emotional response you want your guests to have. Think about your senses and use them to guide you through the visualizing and planning process.
2) Make a checklist Knowing what is involved in coordinating an event is key; have an action plan in place and you will foresee obstacles. Planning an event requires organization, attention to detail, and focus. Checklists will help you stay focused!
3) Use your resources Take time to assess what you have available to you through family and friends. As enticing as it is to buy new, always use the resources available to you (if you can make it work for your event)...it will save you time and free up money for other areas in your budget.
4) Set a realistic budget...and stick to it Nothing will destroy your event quicker then running out of funds part-way through the planning process. If you don't have a financial plan, paying for a large event can cause financial hardship after the celebration is over. Don't rely on credit to get you through the process - the end result will have you paying more for your event then you planned for. Create a budget you can afford 'now'...and stick to it as best you can!
5) Be flexible Don't get mentally (or emotionally) 'stuck'! Things rarely go exactly as you plan. Having specific expectations is a sure-fire way to find disappointment. Be flexible and make sure you have alternate choices to fall back on.
6) Find the right venue Build your theme around the venue - don't try to mould a venue into a theme! use your venue as inspiration and run with it - it will keep decorating costs down and offer a big impact for the overall atmosphere.
7) Know your venue Find out what the venue has to offer before you book it. Inquire about decor or noise and time restrictions and ask whether linens, tables and chairs, or other items are included in reservation costs. Take time to ask what lighting and media equipment is on site (ie: amps, microphones, speakers, stage or dance lighting). And be sure to take measurements and pictures so you have an easy reference to look to during the planning process.
8) Create a theme Working with a theme will help the planning process go smoother - it adds structured choices and makes it easier to coordinate food, décor, and decorations. Whether it’s simply through color coordination or an elaborate theatrical theme, create something that shows your personal style!
9) Create ambiance Novelty ideas are key to giving guests something to remember; be creative and don’t be afraid to try something unique. Use specialty lighting to create drama or to highlight key areas. Host a fun and elaborate candy or dessert bar. Consider amusements and entertainers such as strolling musician, chef demonstrations, palm readers, or dancers that help bring your venue and theme to life!
10) Prepare a decorating kit Tape, velcro strips, elastics, zap straps, fishing line, tacks, clips, hooks, ribbon, hand wipes, cloths, all purpose cleaning spray, step ladders, and any other handy items you can think of will help you be more efficient during set-up.
